Guests will receive a copy of the Destination Amelia Rental Agreement Terms & Conditions at the time of booking.
Reserving Your Stay
After reserving a property with Destination Amelia, guests will receive an email confirmation of the booking along with the Rental Agreement to be completed electronically. Guests are to sign and return the Rental Agreement electronically within 48 hours of receiving it, or within 24 hours if the arrival date is within one week. The signed agreement and initial payment must be received within this time period or be subject to cancellation. For guests booking through 3rd party sites (VRBO, HomeAway, Airbnb, etc.), these same terms apply with the signed Rental Agreement required in order to confirm the reservation.
Payment Terms
All guests are required to provide a credit card on file as a guarantee. We accept Visa, MasterCard, Discover, or American Express. Personal checks may be accepted, but a credit card will still be required to be on file. For reservations mayde more than 30 days prior to arrival date, an initial deposit is required (typically 25% of the total) along with a signed copy of the Rental Agreement. The balance of the rental payment is due 30 days prior to arrival date. For reservations made less than 30 days before arrival date, the full amount is due at the time of making the reservation. (Note: For our properties that allow ONLY monthly rentals, the balance is due 60 days before the arrival date.)
Taxes
The Florida Sales Tax of 7% is required on the rental rate and any additional charges (cleaning fee, pet fee, reservation fee, etc.). A 5% Nassau County Tourist Development Tax is assessed on each reservation as well.
Additional Charges
Each reservation will include a booking fee of $50. This fee helps to cover the software costs and other fees associated with taking reservations. This amount is non-refundable.
Restrictions
- All properties are non-smoking. A minimum fee of $500 will be charged if smoking is discovered in a property.
- Occupancy numbers are strictly enforced. Do not exceed the maximum allowed number of occupants in a property. Occupancy limits include day and overnight guests.
- No campers, boats, trailers, or other recreational vehicles are allowed at any property without advance approval at the time of booking.
- Pets are prohibited in non-pet friendly properties and all pets must be disclosed in advance of reservation with additional pet fees paid.
- Must be 25 years of age or older to enter into a Rental Agreement. Non-family groups require all occupants to be over the age of 25.
Minimum Days
There is a three (3) night minimum for most advanced bookings. Many properties have longer minimum stay requirements during peak season (Memorial Day through mid August) or during holidays. Please see individual property listings for details. During certain times of the year, we may offer two (2) night minimum stays for last-minute bookings, or to fill an available gap that is shorter than the usual minimum stay requirement (not available on all properties). Please contact our office for assistance if the online system does not allow the reservation.
Age Requirement
We maintain a family atmosphere to assure maximum enjoyment for all of our guests. We rent only to family groups, couples, and responsible adults 25 years or older. Any reservations made under false pretenses will result in the loss of advance payments and possible removal of guests from the property.
Occupancy Limits
In the descrtiption of each property, the maximum number of people the property will accomodate is stated (excluding children under 2 years of age). Any violation of the maximum occupancy may be grounds for immediate eviction and subject to an additional fee. Our occupancy limits are determined by local laws and must be adhered.
Pets
We offer a number of “pets considered” properties for rental. Please see “VACATIONING WITH A PET” for our pet policies and for helpful information on visiting Amelia Island with your pet.
Accommodations
Each property is individually owned, furnished, and decorated according to the owner’s tastes and preferences. Specialty items will vary. For your convenience, you will find a starter supply of paper towels, toilet paper, laundry detergent, dish soap and detergent, trash bags, and bath soaps already in the property. Guests are responsible for additional supplies during their stay.
Standard Amenities
Each property is fully furnished and the kitchen comes stocked with cookware and dinnerware. Beds have mattress pads, bedspreads, blankets, and pillows. All properties come standard with linens for beds and towels for bathrooms at no additional charge. All properties include a washer/dryer, dishwasher, refrigerator, stove, microwave, TV, and internet access. Property specific amenties vary and will be posted on the property pages on our website. If you are a guest staying in one of our properties at Omni Amelia Island Plantation, please be aware that certain amenties at the resort are not available to our guests. Please ask if you have specific questions regarding amenities.
Check-In/Check-Out
Check-in time is 4:00 p.m. EST. Occasionally there is the opportunity for an earlier check-in (additional fee may apply). Please contact our office prior to your arrival for early check-in requests. We will provide information with directions to the property and specifics on accessing the unit. Check-out time is 10:00 a.m. EST. To avoid any late check-out fees, all units must be vacated by 10:00 a.m. on the departure date.
Cancellations
For cancellations made in writing 30 days or more before the arrival date, a full refund will be given. For cancellations made between 14 and 29 days before the arrival date, a 50% refund will be given. For any cancellation made less than 14 days before arrival date, no refund will be given.
For our properties that allow ONLY monthly rentals, cancellations made 60 days or more before the arrival date will receive a full refund. For cancellations made between 30 and 59 days before arrival date, a 50% refund will be given. For any cancellations made less than 30 days before arrival date, no refund will be given.
There will be no refunds for no-shows, late arrivals, early departures, or for leaving the home for mechanical failure of non-essential items. In the event of a mandatory evacuation for a tropical storm or hurricane, guests will be given a refund covering the days that the area is under the evacuation.
Cleaning
All rentals will include a mandatory cleaning fee upon departure, which prepares the property for the next rental. Daily maid service is not included in the rental, but we do offer mid-stay cleanings for an additional fee. Upon check-out, guests are responsible for completing the “Check-Out Procedures” that are posted in each property. Cleaning is included in your rental charge so you are not expected to clean the house before you leave. We simply ask that you make sure all of the trash is taken care of, that the dishwasher has been run and that you have cleared the house of your personal possessions. We reserve the right to charge an additional fee if the property is not left in an acceptable manner.
Repairs
We cannot guarantee against mechanical failures of heating, air conditioning, TVs, or other appliances. Please notify our office if any issues need the attention of our maintenance team. No refunds or rent reduction can be guaranteed due to failure of appliances or equipment, but every effort will be made to make repairs as soon as possible to provide for your comfort.
Liability for Damages
Guests assume full responsibility for any items damaged due to misuse or negligence or action on their part, except in the case of normal wear and tear. Guests are responsible for notifiying Destination Amelia upon check-in if property damage is noted. If damages occur during the stay, please notify our office.
Disturbances
Guest(s) will be required to vacate the premises and forfeit the rental fee for any of the following reasons: A) Using the premises for any illegal activity, including alcoholic beverages by or to persons less than 21 years of age; B) Causing damage to the proeprty or to any of the neighbor’s properties; C) Any other acts which interfere with the neighbor’s right to quiet enjoyment of their property.
Listings and Pricings
Guests are responsible for reviewing the property description, photos, location, and amenties to confirm that it will meet the needs of their group. Information regarding individual listings is believed to be accurate but cannot be guaranteed. We have made every effort to ensure all the information provided via print or online is current and accurate. Rates, furnishings, fees, and taxes are subject to change without notice.
Lost & Found
Shipping charges plus a $20.00 service charge must be paid if you request us to package and return items left behind.
